Job Summary
The Executive Assistant will be a key member of ViTreo’s Leadership and Operations team. Working primarily with ViTreo’s President and CEO, you will provide exceptional, effective, and personalized executive support. The Executive Assistant will be instrumental in facilitating the strategic operations of the business, business development activities, marketing, client services, and general administration. While this position is focused on supporting the CEO, the Executive Assistant will be well integrated as part of the ViTreo team and will have the opportunity to collaborate with others in the organization.
Reporting to the President & CEO, the incumbent will:
• Facilitate the CEO’s ability to lead an ever-growing firm, supporting client satisfaction, associates, and business development opportunities
• Coordinate calendars, meeting logistics, meeting agendas and packages, presentations, and minutes for the CEO, ensuring that he is prepared for upcoming commitments
• Schedule and coordinate guest calendars for media events including ViTreo’s BrainTrust Philanthropy podcast and ViTreo’s Fundraising Ask Anything events
• Be a conduit for the ViTreo team to have access to and guidance from the CEO as required – a gateway role that facilitates access while balancing the CEO’s many priorities
• Arrange travel and accommodations for the CEO
• Manage and consolidate the CEO’s monthly expenses for the Finance Manager
• Format and edit letters, reports, and correspondence
• Communicate effectively and pro-actively with ViTreo team members to keep them informed of the status of projects, making certain that all client deadlines are met
• Elevate ViTreo’s operational efficiency by developing, reviewing, and improving administrative systems, policies, and procedures
Qualifications
• Have completed a related post-secondary certificate or diploma
• Possess professional experience in an executive assistant / supportive role
• Be a passionate advocate for the non-profit sector and be eager to make a difference
• Pride themselves on being “one step ahead”, proactively assessing what is required and making it happen
• Be a trusted leader and team player that builds rapport quickly and easily
• Be willing to take on challenges and to devise effective and manageable solutions
• Possess excellent communication & interpersonal skills
• Display superior time management skills as this role requires you to be highly organized, excellent at prioritizing tasks, capable of adapting to shifting priorities, and driven by deadlines
• Ability to work effectively both as a member of a team and independently
• Advanced knowledge of Microsoft Office, GSuite, and Adobe products
